  4. Client recordings, answers and documents.

We may share user data with third parties for the following purposes:

  1. Email hosting, delivery, and list management;
  2. Website hosting and delivery;
  3. Serving fonts on page load;
  4. Receiving voice recordings and messages sent to us by clients; and
  5. Transcription and drafting of client documents.

Third parties will not be able to access user data beyond what is reasonably necessary to achieve the given purpose.

How Long We Store Personal Data

User data will be stored for as long as you remain subscribed, and records of a paid engagement are kept for five years to meet Australian tax and business record requirements. Recordings and other raw material are deleted on request once your portrait has been delivered.

You will be notified if your data is kept for longer than this period.

How We Protect Your Personal Data

Our website does not store user data. It is a static site with no database and no user accounts, and all connections to it are encrypted using HTTPS. Information you provide is held with established service providers who encrypt data in transit and at rest, and access is limited to the business owner.

While we take all reasonable precautions to ensure that user data is secure and that users are protected, there always remains the risk of harm. The Internet as a whole can be insecure at times and therefore we are unable to guarantee the security of user data beyond what is reasonably practical.

We will do that, except where we need to keep records of a paid engagement to meet tax and business record requirements.

Additional Clauses

Use of AI in delivering our services. Where you engage us for services, the recordings and written answers you provide are transcribed and structured with the assistance of AI tools. Every document we deliver is read, edited and approved before it reaches you, and the judgment in it is ours. This material is not shared with anyone other than the service providers listed in this policy.

Modifications

This Privacy Policy may be amended from time to time in order to maintain compliance with the law and to reflect any changes to our data collection process. When we amend this Privacy Policy we will update the "Effective Date" at the top of this Privacy Policy. We recommend that our users periodically review our Privacy Policy to ensure that they are notified of any updates. If necessary, we may notify users by email of changes to this Privacy Policy.
